How to handle negative comments like a pro - A spokesperson’s guide to online reputation management

27 August 2025 | Corinne Bishop by Corinne Bishop

You’ve crafted the perfect post. It’s clear, on-message and well-timed. Then the comments start rolling in – and not all of them are kind.

For spokespeople, negative comments on social media aren’t just frustrating – they’re part of the job. But how you respond (or don’t) can make all the difference to your organisation’s reputation.

Here’s how to handle criticism online with confidence, professionalism and a cool head.

1. Don’t panic – pause

It’s natural to feel defensive when someone criticises you or your organisation publicly. But reacting emotionally might make it worse.

Take a breath. Step back. And remember: your response will be seen by everyone.

2. Assess the comment

Not all negative comments are created equal. Before you respond, ask:

Is this a genuine concern or just trolling?

Is it factually incorrect or a difference of opinion

Does it require a public response – or a private one?

Top tip: If it’s abusive or violates platform rules, report and hide it. You’re not obliged to engage with hate.

3. Make your response clear and calm

If a response is needed, keep it short, respectful and on-message. Acknowledge the concern, correct any misinformation and offer a next step if appropriate.

Example:

“We’re sorry to hear this. Please DM us so we can investigate it further.”

This shows you’re listening – without getting drawn into a public back-and-forth.

4. Don’t get defensive

Even if the comment feels unfair, resist the urge to argue. Defensive replies can come across as dismissive or unprofessional.

Instead, focus on what you can do: clarify, reassure and redirect the conversation constructively.

5. Know when to step away

Some people just want to provoke a reaction. If a conversation is going nowhere, it’s okay to disengage.

Silence, when used wisely, can be a powerful tool.

6. Learn from the feedback

Negative comments can sometimes highlight real issues. Use them as an opportunity to improve – not just your messaging, but also your service or approach.
